Office Manager Opportunity

We are looking for a dedicated, outgoing, and proactive professional to join our team at a growing Wellness Center. We are seeking an Office Manager to organize and coordinate administration duties and Wellness Center procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Office manager duties and responsibilities include patient coordination and relations, scheduling appointments, making office supply arrangements, and providing general administrative support to our staff. Previous experience as a front office manager or office administrator would be an advantage. A successful office manager should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

Pay: 18-22 /hour depending on experience

  • Greeting patients and checking them in
  • Preparing treatment rooms at the beginning of the day and between patients; including tidying up and changing linens
  • Laundering sheets and linens for the clinic
  • Checking patients out and processing payments
  • Scheduling patients using online scheduling software Jane app
  • Help with administrative needs of owner and supporting staff
  • Ordering merchandise and creating display design for our Retail Store inside the office
  • Ordering supplies for the business and stocking and/or organizing shipments
  • Answering incoming calls and returning voice mail messages for patients
  • An opportunity for growth to take on additional responsibilities such as;
    • Marketing and Social Media Accounts
    • Website Edits
    • Strategic Business Support
    • Additional Hours

  • Have experience or an interest in holistic treatments and wellness
  • Have experience with customer/client coordination and relations
  • Have strong interpersonal and emotional intelligence skills
  • Have experience in customer service where you can make proactive and resourceful decisions to serve the customer while considering what is in the best interest of the business
  • Are a team player with a positive attitude, willingness to take initiative, and ability to work in a fast-paced, multi-tasking environment
  • Have excellent organizational skills
  • Have excellent written and verbal communication skills
  • Possesses computer software proficiency with Microsoft Office, Google Apps, Scheduling Platforms, or other computer software programs
  • Possess a creative mind and willingness to share ideas
  • Willingness to be trained to take on additional responsibilities
  • Have inventory management and purchasing experience
